Thank you for choosing Highlight Mongolia. We create thoughtful, tailor-made journeys and want every part of your experience, from booking to returning home, to be clear and straightforward.
These Terms and Conditions explain how bookings, payments, changes, cancellations and travel responsibilities are handled. Please read them carefully before confirming your trip. If anything is unclear, we are always happy to help.
By accepting a confirmed quotation and paying the required deposit or full amount, the lead traveler confirms that they have read and accepted these Terms and Conditions for themselves and for any traveler they are authorized to represent. Each adult traveler remains responsible for understanding the terms that apply to the booking and may be asked to accept them separately.
"Highlight Mongolia", "we", "us" and "our" refer to Highlight Adventure LLC, a company registered in Mongolia under company registration number 7283193 and trading as Highlight Mongolia.

"Traveler", "you" and "your" refer to every person included in a booking.
"Trip" means any tour, itinerary, accommodation, transport, activity or other travel service booked through Highlight Mongolia.
These Terms and Conditions apply to direct consumer bookings for:
Separate terms may apply to bookings made by travel agents, corporate clients or other business partners.
Certain trips or services may have additional conditions because of supplier requirements, domestic flights, festival tickets, exclusive accommodation, special permits or other arrangements. Any additional or different conditions will be stated in your itinerary, quotation, invoice or booking confirmation.
If supplier conditions are to form part of your booking, we will make them available before confirmation where reasonably practicable.
If a specific written condition in your confirmed quotation conflicts with these general Terms and Conditions, the specific condition in the quotation will apply to that part of your booking, subject to applicable law.
Submitting an inquiry or booking request does not create a confirmed booking.
After receiving your inquiry, we may prepare a proposed itinerary and quotation based on your requirements. Prices and availability remain subject to confirmation until the required payment has been received.
Your booking becomes confirmed only when:
If a requested service becomes unavailable before confirmation, we will offer a suitable alternative or revised quotation whenever possible and keep you informed.
The person making the booking must be at least 18 years old and is responsible for:
The price of your trip is based on:
Your quotation will identify what is included and excluded.
Unless expressly included in your quotation, trip prices exclude personal expenses, international flights, visa costs, travel insurance, optional activities, excess baggage, gratuities and independently arranged services.
Prices will be quoted in the currency shown in your quotation or invoice. If you pay in another currency, the exchange rate used by the relevant bank, card issuer or payment provider may apply.
Before confirmation, we may correct an obvious pricing or calculation error. If this happens, you may accept the corrected price or withdraw your booking request without charge.
For most trips, a deposit equal to 30% of the total trip price is required to confirm the booking.
A deposit of up to 50%, or another amount clearly specified before booking, may be required for:
Unless otherwise stated in writing, the deposit forms part of the total trip price and is not an additional charge.
After confirmation, the deposit may be retained as part of the cancellation charge described in Section 10. Any amount retained is subject to these Terms, applicable law, and any written agreement that expressly provides otherwise.
The remaining balance is normally due no later than 60 days before the trip's scheduled start date.
An earlier deadline may apply to festival tours, peak-season arrangements, domestic flights, exclusive accommodation, special permits or services requiring early supplier payment. Any earlier deadline will be stated in your quotation or invoice.
For a booking made within 60 days of departure, full payment is generally required at confirmation.
If payment is not received by the stated deadline, we may treat the booking as canceled by you after giving reasonable notice where practicable. Cancellation charges may apply, and the reservation may be released.
Payments may be made through:
Available payment methods and currencies may depend on the transaction, card issuer, bank and country of payment.
A payment is complete only after it has been successfully authorized, cleared and received by Highlight Mongolia.
If a payment is declined, interrupted, reversed, recalled or charged back, the booking will remain unpaid or unconfirmed until valid payment is received.
For bank transfers, the traveler is responsible for sending-bank, intermediary-bank, receiving-bank and currency-conversion charges. Highlight Mongolia must receive the full amount shown as payable on the invoice.
Any card-processing fee payable by the traveler will be clearly disclosed before payment. We will not add an undisclosed payment surcharge after you authorize the transaction.
Your bank or card issuer may apply its own foreign-transaction or currency-conversion charges. These charges are outside our control.
Card information is processed through the payment provider's secure environment. Highlight Mongolia does not directly collect or store your complete payment-card details.
Requests to change a confirmed booking must be submitted in writing.
We will make reasonable efforts to accommodate your request, but changes remain subject to availability and supplier approval.
You are responsible for:
A reduction in the number of travelers may increase the per-person price for those who continue with the booking.
Before departure, you may ask in writing for another person to take your place. We may decline a proposed substitute if that person does not meet the trip's stated requirements or a supplier does not allow the change. The original traveler is responsible for documented additional costs, supplier fees, and any price difference caused by the substitution. We will explain any restriction before treating the request as a cancellation.
A request to change the trip date or destination may be treated as a cancellation and a new booking if the original arrangements cannot reasonably be amended.
No change or substitution is confirmed until Highlight Mongolia provides written confirmation.
You may cancel your booking at any time by notifying Highlight Mongolia in writing at info@highlightmongolia.com.
Cancellation takes effect when we receive your written notice. If notice arrives outside our normal business hours, we may process it on the next business day, but the received date will be used where delivery can be verified.
Unless different conditions are stated in your confirmed quotation, the following standard charges apply:

The charge is calculated using the total confirmed trip price and will not exceed that price.
Some domestic flights, festival tickets, permits, charter transport, exclusive accommodation and other special arrangements may have separate non-refundable supplier conditions. We will disclose these before confirmation when they apply.
Documented non-refundable supplier costs will be applied instead of, and not in addition to, the standard charge where they relate to the same loss. We will take account of costs saved and amounts recovered from suppliers where required by law.
These cancellation charges are subject to any rights available under applicable law. If our actual recoverable loss is lower than the stated charge and the law requires an adjustment, the lower amount will apply.
Travel insurance meeting Section 16 is mandatory. Trip-cancellation coverage is strongly recommended.
Cancellation charges may apply if you:
Unused accommodation, meals, transport, activities or other services cannot normally be transferred, exchanged or refunded.
If we recover money from a supplier for a genuinely unused service, we will return the recoverable amount after deducting applicable supplier charges and reasonable administrative costs, where permitted by law.
We are not required to provide a refund for an amount that a supplier lawfully retains, but nothing in this section limits a right or refund available under applicable law.
Approved refunds will normally be returned through the original payment method where practicable.
Processing time may depend on our bank, your bank, the card network, the payment provider and relevant suppliers.
Unless applicable law requires otherwise, the following may be non-refundable:
Highlight Mongolia is not responsible for a difference in the amount received because of exchange-rate movements or third-party charges.
Travel in Mongolia may involve remote locations, variable road conditions, changing weather and limited local infrastructure. Itineraries may therefore need to be adjusted before or during a trip.
We may make reasonable changes for operational, logistical, legal or safety reasons, including:
We will make reasonable efforts to maintain the overall character and standard of your trip, minimize inconvenience and tell you promptly about any significant change.
A minor itinerary change does not normally give a right to cancel without charge or receive compensation.
If we make a significant change before departure, you may, where reasonably available:
If the significant change results from force majeure, Section 15 will also apply.
We may give you a reasonable deadline to choose an option. We will not treat silence alone as acceptance. If you do not respond, we will make reasonable efforts to contact you and may need to cancel the affected booking and provide the remedy required by applicable law.
We may cancel a trip if:
For a scheduled departure, the required minimum group size and the latest date on which we may cancel for insufficient numbers will be stated in your quotation or booking confirmation.
If we cancel for a reason within our reasonable control and unrelated to your actions, you may choose:
A future travel credit will be provided only if you agree to it.
If cancellation results from force majeure, Section 15 applies.
We are not responsible for cancellation expenses relating to services not booked through us, including international flights, visas, vaccinations, insurance premiums, personal equipment or independent travel arrangements, except where applicable law provides otherwise.
If we cancel because you failed to pay, provided materially inaccurate information or seriously breached these Terms and Conditions, the cancellation may be treated as a cancellation by the traveler, subject to applicable law.
"Force majeure" means an event outside the reasonable control of Highlight Mongolia or its suppliers that prevents, materially affects or makes it unsafe to provide the agreed services.
Examples include:
When force majeure affects a trip, we may change, suspend, postpone or cancel the affected services. Either party may also have a right to end the booking where provided by applicable law.
We will make reasonable efforts to recover refundable amounts from suppliers and assist you with necessary changes. Any refund or travel credit will depend on the amounts recoverable, costs already reasonably incurred and applicable law. A travel credit will be provided only with your agreement.
Responsibility for additional accommodation, meals, transport, route changes or return travel will be handled according to applicable law and the circumstances. Where the law requires costs to be shared, we will apply that rule.
Every traveller must hold travel insurance for the full duration of the trip that provides appropriate cover for:
We strongly recommend that your policy also covers:
You are responsible for reviewing the policy's exclusions, coverage limits and requirements relating to pre-existing medical conditions.
We may request evidence of the required cover before departure. If you do not obtain it, we may refuse participation where reasonably necessary for safety or operational reasons. Applicable cancellation charges may apply.
Each traveler is responsible for obtaining and carrying:
Entry and transit requirements may change. Travelers should confirm current requirements with the relevant embassy, consulate, immigration authority or other official source.
Information provided by Highlight Mongolia is general assistance only and does not guarantee that a visa or entry permission will be granted.
If you cannot travel because documents are missing, incorrect, expired or invalid, or because an authority refuses entry, the cancellation provisions in Section 10 will apply. Any recoverable unused amount will be handled under Sections 11 and 12 and applicable law.
You must assess whether the trip is suitable for your health, fitness, mobility and experience.
Before confirmation, please tell us about any medical condition, disability, allergy, dietary requirement, pregnancy, medication, mental-health condition or other circumstance that could affect:
We handle medical information under our Privacy Policy and share it only when reasonably necessary to provide services, respond to an emergency or meet legal obligations.
We may require a medical assessment or written confirmation from a healthcare professional for physically demanding or remote trips.
If relevant information is withheld and we cannot safely accommodate the traveler, we may restrict participation or cancel the booking. Applicable cancellation charges may apply, subject to law.
If you become ill or injured and cannot give instructions, you authorize Highlight Mongolia and its representatives, to the extent permitted by law, to arrange reasonable emergency assistance, including transport, evacuation or medical treatment.
We do not provide medical advice and cannot guarantee the availability or standard of medical facilities, particularly in remote areas.
Medical, evacuation and related costs are the traveler's responsibility. Highlight Mongolia may require reimbursement for reasonable emergency expenses paid on the traveler's behalf.
Travel in Mongolia may involve risks different from those encountered in urban or fully serviced destinations.

By booking, you acknowledge the nature of adventure travel and accept the ordinary risks reasonably associated with your confirmed itinerary.
This section does not exclude any responsibility that Highlight Mongolia cannot lawfully exclude.
Accommodation, vehicles, meals and other services are assessed according to local Mongolian standards, which may differ from standards in the traveler's home country.
In remote regions, accommodation may include ger camps, guesthouses, family stays or camping. Facilities may be shared, electricity may be limited, hot water may not always be available, and internet access may be slow or unavailable.
Website images and descriptions are intended to provide a fair representation, but individual rooms, gers, vehicles and facilities may vary.
Travel times are estimates and may be affected by road conditions, weather, traffic, vehicle availability and other local circumstances.
Domestic flight schedules may change with limited notice. Highlight Mongolia is not responsible for an airline's schedule changes, cancellations, baggage restrictions or delays where these are outside our reasonable control, but we will provide reasonable assistance with affected arrangements booked through us.
Travelers should allow sufficient time between domestic and international flights and avoid booking inflexible onward arrangements immediately after returning from a remote journey.
Travelers must:
A tour leader or Highlight Mongolia representative may restrict or end a traveler's participation if the traveler's behavior, condition or actions create a material risk to themselves or others or seriously affect the trip.
A traveler removed for these reasons is responsible for resulting accommodation, transport, medical and return-travel expenses. Any refund for unused services will be handled under Sections 11 and 12 and applicable law.
Highlight Mongolia is committed to responsible and sustainable tourism.
Travelers are expected to:
Serious or repeated disregard of these responsibilities may be treated as misconduct under Section 23.
A traveler under 18 must be accompanied by a parent, legal guardian, or responsible adult authorized by the child's parent or guardian, unless Highlight Mongolia agrees otherwise in writing.
The responsible adult must ensure that the child:
Age restrictions may apply to certain activities. Child prices, room arrangements and special cancellation conditions will be stated in the quotation where applicable.
Travelers are responsible for their baggage, money, travel documents, electronic devices and personal belongings.
Baggage limits may apply to domestic flights, private vehicles, horse or camel journeys and remote-area transport. You must follow the limits communicated before departure.
Highlight Mongolia is not responsible for loss, theft or damage to personal property caused by the traveler's own actions, negligence or events outside our reasonable control. Any liability that cannot legally be excluded remains subject to applicable law.
Highlight Mongolia arranges services provided by independent suppliers, including airlines, hotels, ger camps, local families, transport providers, guides and activity operators.
These suppliers are responsible for providing their services under their operating conditions and applicable law.
We use reasonable care when selecting and coordinating suppliers. We are not responsible for an independent supplier's act or omission where the event was genuinely outside our reasonable control and could not have been prevented through reasonable care.
Nothing in this section excludes responsibility that cannot legally be excluded, including responsibility arising from our own failure to use reasonable care in selecting or coordinating a supplier.
If supplier conditions are incorporated into your booking, we will make them available before confirmation where reasonably practicable.
Highlight Mongolia is responsible for providing the services described in your confirmed itinerary with reasonable care and skill.
To the extent permitted by law, we are not responsible for loss, damage, delay, injury or expense to the extent it is caused by:
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from fraud, wilful misconduct or another responsibility protected by applicable law.
Where permitted by law, we are not responsible for indirect losses that were not reasonably foreseeable when the booking was confirmed or for business losses arising from a consumer booking.
Any limitation of liability will apply only to the extent permitted by applicable law. Nothing in these Terms reduces a traveler's mandatory rights under Mongolian consumer or tourism law.
If a problem occurs, please notify your guide, tour leader or Highlight Mongolia representative as soon as reasonably possible.
This gives us an opportunity to investigate and try to resolve the issue while the trip is underway.
If you do not report a problem when it could reasonably have been addressed locally, this may affect our ability to investigate or provide a remedy, but only to the extent permitted by applicable law.
If a complaint remains unresolved, please submit it in writing as soon as possible and, where practicable, within one month after the trip ends.
This does not prevent a later claim where the delay was not your fault or where a later claim is otherwise permitted by applicable law.

We take reasonable care to keep our website, itineraries and marketing materials accurate. However, photographs, maps, travel times and descriptions are illustrative and may not reflect temporary or minor operational changes.
Website content does not form part of your contract unless it is expressly included in your confirmed itinerary or booking confirmation.
Obvious typographical, technical or pricing errors may be corrected.

We may share necessary information with suppliers, financial institutions, government authorities or emergency providers when required to perform the booking, protect health or safety or comply with the law.
Our Privacy Policy explains how we collect, use, store, protect and share personal information and should be read together with these Terms and Conditions.
Where required by law, we will request separate, recorded consent for matters such as health information, promotional use of identifiable photographs and international data transfers. Accepting these Terms and Conditions does not replace any separate consent required by law.
Highlight Mongolia may take photographs or videos during a trip.
We will seek appropriate permission before using an identifiable traveler's image, video, testimonial or personal story for advertising or promotional purposes. You may decline or withdraw promotional consent for future use by notifying us.
Subject to applicable law, separate consent may not be required for incidental appearance in a general crowd, landscape or public-event image where the individual is not the principal subject.
Travelers must respect the privacy of residents and obtain permission before taking close-up or identifiable photographs of individuals.
You agree that booking confirmations, invoices, notices and travel documents may be provided electronically.
You are responsible for providing a valid email address, checking your messages and notifying us if your contact details change.
Electronic acceptance of these Terms and Conditions has the same effect as written acceptance to the extent permitted by law.
If you believe a payment is incorrect, please contact Highlight Mongolia promptly so we can investigate and try to resolve the issue.
Starting a chargeback does not automatically cancel a booking or remove a valid payment obligation under these Terms and Conditions.
We may provide booking records, communications and other relevant evidence to the payment provider or financial institution when responding to a payment dispute.
Nothing in this section limits your lawful rights regarding unauthorized or incorrectly processed transactions.
The laws of Mongolia govern these Terms and Conditions and bookings made with Highlight Mongolia.
If a problem arises, please contact us first. We will work with you in good faith to find a fair solution.
If a dispute cannot be resolved directly, it may be submitted to the competent courts of Mongolia, unless applicable consumer-protection law gives you the right to use another court, authority or forum.
If any provision of these Terms and Conditions is found to be invalid, unlawful or unenforceable, it will be modified or removed only to the extent necessary.
The remaining provisions will continue in effect.
If Highlight Mongolia does not immediately enforce a provision of these Terms and Conditions, this does not mean that we waive our right to enforce it later.
We may update these Terms and Conditions from time to time.
The version applicable to your booking will normally be the version accepted when the booking is confirmed, except where a change is required by law or expressly agreed with you.
